Badge scanner rental cost
What a rented badge scanner actually costs
The line item looks small until you multiply it. Organizer rentals are typically $300–$900 per device, per show. Two guns, three shows, and you've spent more than a year of software — on hardware you return. LeadPix is the phone already in the booth: Pro is $199/yr, Team is $699/yr, and the free plan is 25 scans a month.

Rental vs owning LeadPix
Defaults match a typical small booth: $500 per device per show, 2 devices, 3 shows a year. Organizer rentals are typically $300–$900 per device, per show — plug in what you were quoted.

You return the gun
A rental is a weekend lease. When the aisles close, the scanner goes back to the service desk. Your process, your photos, and your follow-up templates do not.
CSV days later
Official retrieval typically emails a file after the show. By then the conversation is cold. LeadPix opens a follow-up draft in your inbox the same night — you send it.
The second device is the trap
One gun per rep. A two-person booth doubles the rental; a four-person booth quadruples it. LeadPix Team is one $699/yr subscription for up to 10 logins sharing a list.
The deadly delay
The rental isn't the only cost
Even after you pay for the gun, most booths still lose the follow-up. Same three numbers we publish on the homepage — not new claims:

Frequently asked questions
How much does a rented badge scanner actually cost?
Organizer rentals are typically $300–$900 per device, per show. Two devices at three shows is $1,800–$5,400 a year — and you hand the hardware back when the floor closes. Confirm the current quote with the show; the range is what exhibitors (including us) keep seeing on order forms.
Is LeadPix cheaper than renting?
Usually, yes, even at one show. LeadPix Pro is $29/mo or $199/yr for unlimited scans at every event. Team is $99/mo or $699/yr for up to 10 seats. The free plan covers 25 scans a month if you just want to try it. Paid plans include a 14-day trial.
What if I only exhibit at one show a year?
One rented gun at $500 is already more than a year of LeadPix Pro ($199). And Pro doesn't expire when that show ends — the same login works at the next regional, the dealer meeting, and the open house in between.
Does the official scanner capture something LeadPix can't?
Official guns read the organizer's barcode and pull the registration record — sometimes including an email that isn't printed on the badge. LeadPix reads what's printed on the badge or business card and enriches the company (phone, website, rating) plus work email, title, and LinkedIn when the print doesn't have them. Different capture, and LeadPix works on cards and at shows that don't rent guns.
Do I need wifi on the floor?
You don't need a signal to capture. Snap photos with your phone's camera all day, then bulk-upload the batch to LeadPix when you're back on wifi. Live scanning in the app needs a connection (cellular is fine). There is no in-app offline queue.
